The purpose of this role is to support the Head of Store Operations in the management of key aspects of the Retail Operations Department, including the monitoring and issuing of relevant internal communication, contributing towards the organisation of key events including regional meetings and collecting data to create accurate reports. This role also involves managing the store uniform process and creating, updating and maintaining a calendar of company events. 

Key Duties / Responsibilities
• Manage internal communication from the business through the internal communication system ‘The Pulse’, ensuring all content is accurate and is issued in a timely manner 
• Be accountable for ensuring all internal communication in the business is created, monitored and issued following the correct communication guidelines 
• Maintain ‘The Pulse’, continually reviewing the system’s capability whilst providing feedback on the opportunities and challenges experienced to the relevant parties 
• Support the Retail Operations team and store employees with any queries raised, attempting to resolve them where possible and escalating any unresolvable issues to the relevant teams in a timely manner 
• Respond to store queries on RotaGeek, working with the relevant third party to ensure the smooth running of the system, escalating any challenges and unresolved issues to the relevant individuals
• Build and maintain strong working relationships with all departments within the Office to ensure store enquiries are dealt with efficiently
• Be responsible for managing The Perfume Shop’s Mystery Shop Programme, liaising regularly with the third party supplier, whilst ensuring you gain feedback from the Retail Operations team to challenge the results where required
• Ensure you highlight all challenges which arise in relation to The Perfume Shop’s Mystery Shop programme to the Head of Store Operations in a timely manner
• Ensure the whereabouts for the Retail Operations team is kept up to date at all times, taking responsibility for distributing this to the relevant parties 
• Be responsible for managing store travel and accommodation for upcoming events in a cost effective manner 
• Support the Head of Store Operations with planning and coordinating all Regional Store Meetings, including but not limited to arranging attendance, travel,  bookings, badges and invitations 
• Arrange and coordinate companywide meetings such as Regional or Supplier Roadshows, ensuring presentations are compiled where required 
• Be responsible for creating, updating and maintaining a calendar of company events ensuring that this is available for review at any point 
• Be accountable for managing the internal calendar on ‘The Pulse’, ensuring all employees have access to upcoming events 
• Manage the store uniform process, reviewing stock levels, and liaising with the relevant party in AS Watson to order new items when required 
• Support the Head of Store Operations with the completion of reports as necessary, ensuring all necessary data is collated and recorded accurately 
• Be an ambassador for The Perfume Shop’s CSR activities, ensuring you support the Head of Store Operations with the completion of the relevant CSR reports for Hong Kong  
• Support with the review and update of the Retail Operations Manual, liaising with the Head of Store Operations about upcoming and required changes and challenging the content and delivery where appropriate 
• Be accountable for organising the required aspects of The Perfume Shop’s annual conference, working with the relevant stakeholders to ensure plans are in place including but not limited to Store Manager travel, table plans, badges, prizes and awards 
• Ensure the smooth running of the Retail Operations central administration, including the management of all paperwork, filing and archiving, ensuring you continually play a lead role in reviewing processes and suggesting ideas to innovate store communication
• Work with the Head of Store Operations to deliver the sales and operations strategy  
• Provide the required cover within the Store Operations Department where necessary

• Good MS Office skills including Word, Excel, PowerPoint and Outlook 
• A strong commercial awareness 
• Strong communication skills both written and verbal with the ability to influence where necessary 
• Strong organisational, prioritisation and time management skills
• A full driving license 
• A key eye for detail
