The purpose of this role is to ensure the smooth running of the store incentive programme, regularly liaising with internal and external parties to secure and issue prizes across the business in a timely manner. This role also involves planning and supporting business events, including regional meetings and The Perfume Shop’s annual conference, whilst communicating with and supporting the Commercial team on a daily basis. 

Key Duties / Responsibilities…

  • Be responsible for running the Store Incentive Programme, including but not limited to drafting and sending all communication, discussing upcoming incentives with suppliers to review and agree incentive prizes, liaising with the Warehouse Operatives when necessary and issuing prizes to the winning teams
  • Be the main point of contact for any incentive queries, ensuring you resolve and answer any questions in a timely manner, escalating any unresolvable challenges where necessary

  • Ensure you liaise with the relevant internal teams, such as Finance to pull the incentive results
  • Ensure incentive tax is processed correctly by completing tax invoices, worksheets and the tracker before issuing them to the relevant third-party suppliers and internal Payroll team within the required time frames
  • Be responsible for the stock in the High Wycombe Warehouse for incentive prizes, ensuring you always keep an accurate record
  • Build and maintain strong working relationships with the Commercial and Store Operation teams, regularly communicating with relevant individuals to proactively seek feedback whilst passing on information in a timely manner
  • Collate feedback from the Area Managers on a regular basis in relation to promotions, promotional events, initiatives and other relevant factors in store, ensuring this is shared with the relevant teams
  • Liaise with the Buying and Merchandising teams, to coordinate ‘The Eye’ sign off process before issuing it to store
    Attend campaign sign off meetings to gain an awareness of promotions, providing regular feedback to the Head of Store Operations
  • Be accountable for attending stores on campaign change over days to review the processes followed and impact, conducting critical analysis and providing feedback on key findings and recommendations to the Store Operations Team
  • Attend new store openings and refits where required to collate feedback on operational challenges, ensuring you share key information with the relevant teams
  • Ensure the weekly trading log is updated with all competitor activity
  • Attend regional roadshows throughout the year, ensuring you take accurate notes and collate information from the Regional Managers to send to stores as a Newsletter after the events
  • Actively obtain feedback from Store Managers to share with the Store Operations team from regional roadshows
  • Compile the relevant slides and information for the monthly leadership report as required by the Head of Store Operations
  • Be responsible for the engraving process in stores, liaising with the third-party supplier on any challenges which arise whilst implementing best practice in stores
  • Provide the required cover within the Store Operations Department where necessary.
  • Support the Store Operations Coordinator with the maintenance of the internal communications system ‘The Pulse’
  • Support the Store Operations Coordinator in ensuring travel is booked in a timely and cost-effective manner for all stores when required

Essential Skills, Knowledge and Experience…

  • Good MS Office skills, particularly in Word, Excel and PowerPoint
  • Strong organisational, prioritisation and time management skills
  • The demonstrable ability to think outside the box and challenge the norm
  • Keen eye for detail is essential
  • Strong communication skills written and verbal with the ability to build and maintain strong working relationships at all levels
  • Full driving license as frequent travel is required
  • Working knowledge of utilising Microsoft Outlook
  • Working knowledge of the incentive tax process
  • Previous experience of having worked in an administrative role
  • Previous experience of working in a retail and fast paced environment 


  • Previous experience of working in a similar role
